Which agreement fits my buildings?
There are three, from a light arrangement with no minimum to a full annual budget. The table puts them side by side.
| Agreement | Pricing and billing | Commitment | Scheduling |
|---|---|---|---|
| Preferred Contractor | Set rates per unit type, each job billed when it is done | No annual minimum | Priority scheduling |
| Annual Turnover | Fixed pricing by bedroom count, for the turnovers a building expects in a year | An annual spending commitment | Priority, with agreed turnaround targets |
| Full-Service Property Solutions | One annual budget for turnovers, tenant-ready preparation, repairs and common areas | The annual budget agreed with you | Set in the agreement |
Larger renovations and conversions are quoted separately under the Full-Service agreement too. Rates are set per unit type in each agreement, from bachelor and studio units up to three bedrooms, and are given on request. Call (905) 920-1418 and we will go through them.
What does a standard turnover include?
A standard turnover is the work that makes a unit ready for the next tenant. It includes:
- interior painting and touch-ups
- minor drywall repairs and patching
- caulking and finishing
- minor fixture and hardware replacements
- lock changes and hardware replacement
- smoke alarm inspection, testing and replacement where required
- window screen repairs
- minor repairs and maintenance
- final unit preparation for incoming tenants
The alarm test is not just good practice between tenants. For a rented home, the Ontario Fire Code says: The landlord shall test smoke alarms annually and after every change in tenancy.
(Ontario Fire Code, 6.3.3.8) The alarm guide has the rest of the duties.
Material allowances and the standard scope are defined in each agreement, so you know what is covered before the first unit. The turnovers page shows the fuller list of lines a unit-by-unit quote can carry, and income property maintenance covers the on-call jobs between turnovers.
How is an agreement set up?
Every agreement is written to protect both sides. Each one has:
- A defined scope of work and material allowances.
- Fixed pricing based on unit size.
- Excessive damage and major repairs billed separately.
- Written approval for any additional work before it is done.
- Annual minimum commitments where they apply.
- Clear payment terms and invoicing. We take cash, cheque, Interac e-Transfer, debit or credit card.
- An annual price review for increases in labour and materials.
What is quoted separately from an agreement?
Projects outside the standard turnover scope get their own written quote. These include:
- water damage repairs and mold remediation
- flooring replacement and major drywall repair and replacement
- apartment build-outs and new rental unit development, including multi-family conversions and added rental units
- value-add renovations, and kitchen and bathroom renovations and upgrades
- the plumbing and electrical work that comes with a renovation project
- multi-unit and full-building renovation projects
A quote is a written list of every part of the job, unit by unit, each line with its own price, then HST at 13% and the total.
Who are the agreements for?
They suit real estate investors, landlords, apartment building owners and property managers with several units or several buildings, where turnovers and repairs come around again and again. A set price for each unit type and a defined scope mean you do not have to quote every job from scratch. A single unit or a single repair is still welcome: there is no minimum job size.
